Once you have entered your password, your Main Menu will appear.

This is my quick summary on how to mail out a direct mailing. Detail instructions follow below.

(Before you begin, create a test list which contains your email address. I would recommend that you set up an email account for an aol address and one for outlook. The reason for this, is that you can test the formatting in each style before you mass send them out to people on your list.)

First step is to create a list. Go through and add a new list without doing any importing.

Second step, go into the Details section of your newly created list, and copy and paste your list of emails into the batch add option. Make sure one email address is on one line.

Third step, go to your Send Mail option, and and copy your new letter into the box, fill out the required parameters as outlined below, then send your letter to your test list first. Once you have reviewed and like it, repeat this step, but send it out to the list you want it to go to.


Main Login Screen:

On it will be a list of all the existing List Names that you have along with a total number of subscribers to each list and some links for maintenance.

At the bottom of the page, you will find more links. These are the operational links and are as follows:

  • Main Menu - When you are inside the subscription program, Clicking on this will return you to the main menu where you are now.

  • Add/Import List -  Clicking on this option will allow you to create a new list and optionally import a list of names.

  • Edit/Upgrade Configs - This area is the brains to your system. Within it contains system paths that tell the program how to respond. Once this has been setup by your administrator, DO NOT under any circumstances change this information. It will render your program useless and non-operational.

  • Send Mail - This option will allow you to send your email out to members contained in your lists.

  • Track Results - This will allow you track the effectiveness of your emails.

  • Log Off - Logging off will return you back to your original sign on Screen

In the right margin of your list, you will see the maintenance for each list:

  • Details - This contains all the information that you have set up for your list. You can edit your system parameters for your list within this section, as well as manually adding an email address or removing one for subscribers. You can also enter a batch of email addresses here.

  • Edit - This will allow you to change the system parameters of your list.

  • Delete - This will physically delete your list.


Now we will discuss each of the above functions in great detail.

Add/Import List -  To create a new list you will need to enter some information. I've explained in detail what each of the options mean.

  • List Name - Each list should have a distinctive name, so that you can easily identify it. Use multiple words
    and/or characters.

    Example: Customer Support Mailing List

  • Import Addresses - If you would like to import an existing e-mail address database, make sure to do the following:

    Check the checkbox next to "Import Addresses"
    Place the full directory path to the actual list in the box located to the right of the checkbox. The directory path should be a full directory path from your servers root directory. For UNIX users it should appear something like:

    /server/directories/my_account/subscribe/address.txt

    Your address file must be in the following format:

    abc@abc.com
    abc2@abc.com
    abc3@abc.com

    Meaning one address above the other. No other file formatting will work.

  • Administration E-mail Address - Place the e-mail address that you would like to appear as the e-mail address sending each outgoing mailing to this particular list. Each list can have its own administration e-mail address.

    Example: admin@abc.com

  • Optin Sign-up HTML Response -  Many of our Subscribe Me Professional users have requested that their users NOT be immediately signed up to their lists without first confirming that they are in fact the users of that e-mail address.

    In order to ensure this, we're created a "Double Opt In" e-mail addition system. Here's how it works:

    Your users are NOT automatically added to your lists when they enter their addresses and press Submit.

    They are instantly sent an automated e-mail to the address they submitted with instructions and a link to click. Once they click the included link, they are added to your list. This confirms that they chose to join your list. No more nasty e-mails from people that were added by mistake or by another user.

  • Optout Removal HTML Response - Here you will be able to customize the "Double Opt Out Removal" HTML response that your subscribers will receive when they first choose to remove themselves from the mailing list. Subscribe Me Professional allows you to customize each list's responses.

    In order to ensure that your users have chosen to unsubscribe from your list, if you have the "Double Opt Out" ON, the information in this field will be automatically brought to the screen once they've pressed the Submit button.

    The "default" signup response already has the code for this available. If, however, you edit/change this, if you wish to reinsert this code, copy and paste it from below:

  • "No Match" Optin Sign-up HTML Response - Here you will be able to customize the "Double Opt In Sign Up - No Match" HTML response that your subscribers will receive when attempt to confirm their sign up request. For security purposes, Subscribe Me Professional requires a specific code to be echoed back from the confirmation link. If the code does not match, the person attempting to subscribe will be given this HTML response, notifying them that the code they are submitting does not match the code on file for this subscriber request.

    The "default" signup response already has the code for this available. If, however, you edit/change this, if you wish to reinsert this code, copy and paste it from below:

  • Sign-up "Address Improperly Formatted - Here you will be able to customize the HTML response to "Improperly Formatted E-mail Address" signup attempts. This response is given when a subscriber attempts to add his/her e-mail address from your mailing list, however the address they give is not a properly formatted e-mail address.

    Improperly formatted e-mail addresses result in bounced mailings and unhappy subscribers.

    The following are a list of variables that you can add into your "Removal" responses for your subscribers:

    <SERVER_NAME> The name of your web server
    <LIST_NAME> The name of the particular mailing list
    <LIST> The List number.
    <WEBSITEURL> Your website URL
    <E-MAIL> The Subscriber's E-mail address
    <CGI_URL> The URL to your subscribe.pl

    Example: You have been unsubscribed from the <LIST_NAME> mailing list. We're sorry to see you go!

    When the subscriber receives the e-mail, Subscribe Me Professional will have replaced <LIST_NAME> with the actual name of this particular mailing list.

  • Signature Message - Many people like to have a "Signature" added to their e-mails. This might be simply your name, your website URL, a quotation that they are fond of, etc.

    Subscribe Me Professional will give you the ability to set your "Signature" for each mailing list you create. Simply type the information that you would like to appear in this input box.

    Example:

    We hope you enjoyed our mailing. You will receive one each week.

    NOTE: The message you type will appear at the absolute bottom of your outbound Mass Mailing e-mail messages only (second to last if you include a "remove me" link). No signature message is required for your Subscribe Me mailings to be properly sent.


Send Mail - Now you are ready to send your list out. Here this will perform it. You will need to enter this information for each mailing that you want to do.

  • Subject - Please enter the Subject of your mailing. This will appear in the Subject line of each e-mail sent.

    Example: Come visit our new website!

  • To List(s) - Choose the list that you would like Subscribe Me Professional to send your Mailing to. In order to provide tracking capabilities, your mailing will only go to one list at a time.

  • Send as HTML - By popular request, Subscribe Me Professional now supports HTML e-mails! You can now send full web page e-mails, complete with graphics, colored fonts, and much more. Presently, this function is only available for Sendmail or Sockets mail users.

    Either copy and paste or manually edit the open window with your HTML code. Remember, the e-mail will only be as good as your HTML skills. If you make an HTML error, it will appear in your HTML e-mail.

    When you are including graphics, make sure that your graphics are uploaded to the Internet, and the path that you use for your graphic is the full URL to the location of the graphic on the Internet.

    Example:

  • Remove Link - If you would like to help us spread the word about Subscribe Me Professional, leave this checkbox UNchecked. Doing so will add the following line to your outgoing mailings.

  • Include Unsubscribe Address Link - If you would like to give your subscribers an easy way to "Unsubscribe" themselves from the mailing list(s) that they subscribe to, simply check this box. Subscribe Me Professional will include a link at the bottom of your outgoing mailings that will allow the subscriber to unsubscribe with a simple "click" on a link. No more having to unsubscribe manually.

  • Track All Clicks from Mailings - Have you ever wondered how effective your mailings were? Wondered how many people are actually "clicking" on the links you provide in your mailings?

    Subscribe Me Professional has a revolutionary new tracking system which will allow you to track each "click" from your subscribers. The results of your tracking is available under the "Tracking Results" link in your Administration Panel.

    Here's how it works:

    Normally, when you want to place a link in your mailings, you would use something like:

    ...please go to: http://www.yourserver.com/directory/file.html

    Customers clicking on that link could not possibly be tracked. Although you might know how many viewings that page has had, you'll never know how many of those viewings came from your Subscribe Me Professional mailing.

    With Subscribe Me Professional, you can track your "clicks" by doing two things:

    Make sure to check the checkbox marked "Track All Clicks from Mailings"

    Provide the website URL that your webpages are located on. This should be the same as the URL path you gave in your configurations, but if not, simply change the URL in the box located directly to the right of the checkbox the URL of the main website.

    Now, when you place a link in your mailings, that link should appear:

    page=/directory/filename.html

    Subscribe Me Professional will replace the page= part with the path to the Subscribe Me script. This will act as an intermediary between your subscriber and the website he/she is attempting to go to. Subscribe Me will log their click, then send them on their way to the website that you intended.

    So this:

    go to: http://www.yourserver.com/directory/filename.html

    becomes this:

    go to: page=/directory/filename.html

    Simple as that.

  • Administration Password - Enter your Administration Password. Subscribe Me Professional will not send your mailings without it. This ensures that no one other than you (or someone you've given your password to) can send mailings to your subscribers.

  • Text Box - The big open window is where you will copy and paste your letter. Either in html format or plain text format.

  • Send - Once you have entered the above information, clicking this button will begin to send your letter to everyone contained within the list you selected. Once it is finished, you will get an email to the adminstrator's email address alerting you to its completion.
